Name Change in SLATE

Overview 

User-initiated legal name changes, submitted to and processed by the Office of the Registrar (OTR) or Human Resources (HR), are automatically synchronized to the SLATE portal through an integrated data sync process (IDSS) that runs multiple times daily. In contrast, preferred name changes are handled manually by the SLATE team and are only applied upon receipt of formal confirmation from either OTR or HR. 

The SLATE team does not process direct name change requests from users. Therefore, we kindly request all SLATE learners including students and staff to follow the procedure outlined below as per their role.  

How to Submit a Name Change for Sheridan Users 

Please note: The automatic synchronization of legal name fields between PeopleSoft and SLATE applies only to students with currently active status (i.e. taking classes). For individuals with an “Alumni” status, legal name changes will appear in SLATE only once their status has changed to “Active”. 

  • Staff: 
    All staff members requesting a legal or preferred name change are kindly asked to contact the Human Resources Records team at hr@sheridancollege.ca. 

How Names Are Displayed in SLATE 

By default, the legal name is displayed in SLATE. Once a preferred name has been submitted, approved, and confirmed by either HR or OTR, the preferred name will take precedence upon entry and appear in SLATE. 

Important Note on Email and Username Changes 

In the case of a name, email, or username change, please ensure that the target email set for mail forwarding is accurate, as this may affect senders trying to reach you. The Instructions on navigating to Mail Forwarding in Sheridan ‘s D2L email screen can be found here.
